DB Fitzpatrick, an investment management firm, is looking for candidates to fill the position of Office Manager. There are three principal areas of responsibility for this position: 1) Budgeting and Financial Operations, which includes working with firm managers on corporate financial operations (budgeting, payroll, accounts payable, accounts receivable, etc.); 2) Office Management/Human Resources, which includes supervising administrative staff and day-to-day office functions; and 3) Assisting the Compliance Department. Below is a list of the main duties of the job, though it is not an exhaustive list.
Office Manager Duties:
Budgeting and financial operations
Budget planning with firm managers
Organizing accounts receivable and accounts payable
Overseeing corporate files
Generating internal financial reports for corporate managers
Organizing tax documents while working with the firm’s tax advisor
Office management/human resources
Overall management of the firm’s administrative staff
Overseeing employees responsible for answering phone
Overseeing maintenance/repairs of all office equipment
Supervising employees’ use of vacation time
Onboarding new employees
Supervising employees’ health insurance and the firm’s profit-sharing plan
Maintaining the firm’s employee handbook and working with employees to ensure compliance with company policies
Working with outside vendors
Acting as administrator for various software programs
Maintaining the company website
Assisting the firm’s compliance department
Organizing appropriate government registrations for the firm
Assisting the firm’s Compliance Chief with firm-wide training sessions
Assisting the firm’s Compliance Chief with various aspects of compliance including: the firm’s broker review process, business continuity plan, code of ethics, cyber security, among other topics.
Ensuring that various compliance records are maintained and up-to-date
The successful candidate must be hard working, reliable, and consistent, and must be willing to tackle new responsibilities as they arise. The Office Manager will work closely with and will answer to the firm’s CEO. Compensation will begin at $82,500 per year with the potential for increased compensation over time, consistent with the person’s success in fulfilling the job’s duties. Health insurance will be provided, vacation time is two weeks per year, and pension benefits will begin after two years with the firm.
Requirements: a college degree and at least 5 years of relevant professional experience.
