Job Summary: We are a nonprofit educational accreditation organization whose new Idaho-based executive director is seeking a local Administrative Assistant. The person in the role will be responsible for a variety of administrative and clerical tasks, including general office work, bookkeeping and other financial tasks. The person will also manage correspondence, create and keep records, and generate communications as directed. 

This is a remote position. However, the person filling this position must live locally and will be expected to meet in person weekly with the Boise-based executive director. While some work assignments can be completed on a flexible schedule, this individual must be available in real-time for calls, Zoom meetings, or other or other contacts during the workday, approximately 7 a.m.-2:00 p.m. (with a lunch hour included0.

What We`re Looking For:

  • Proven experience as an Administrative Assistant or in a similar role. (At least three years` experience).
  • Tech-savvy, with proficiency in QuickBooks and in Microsoft Suite programs including Word, Outlook, and Excel; and Google Docs. Certifications or completed coursework on administrative software are a plus.
  • Experience in performing bookkeeping tasks, including invoicing, accounts payable, accounts receivable and expense report reimbursements.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills with strong proficiency in grammar and spelling.
  • Responsiveness:  Can respond to emails and process expense reimbursements quickly.
  • Proactive mindset, with a passion for problem-solving and driving efficiency.
  • High level of discretion and confidentiality.
  • Attention to detail.
  • Ability to work independently and as part of a team, including the focus and self-direction to work remotely.
  • A customer-focused, can-do attitude.

Key Responsibilities:

  • Provide administrative support to the Executive Director (based in Boise) and the Assistant Executive Director (based in Kansas) for tasks such as writing and editing e-mails, drafting memos, and preparing other communications on the organization`s behalf.
  • Perform general office duties such as data entry and managing correspondence.
  • Maintain organized electronic filing systems for easy retrieval of documents.
  • Prepare and send invoices.
  • Assist with other bookkeeping tasks, including accounts payable and accounts receivable.
  • Handle expense reimbursements quickly and efficiently for multiple people at once.
  • Build Excel spreadsheets and similar repositories for various contact and distribution lists and update/maintain these lists.
  • Coordinate Zoom meetings, appointments and travel arrangements as needed, including scheduling and sending reminders.
  • Maintain and organize comprehensive and accurate office records, files and folders (primarily created and stored virtually).
  • Manage and update financial records.
  • Create and maintain spreadsheets in Excel.
  • Provide administrative support to other team members as needed.
  • Review and respond to emails and calls throughout the workday.
  • Ability to responsibly store and handle records and other information.
  • Meet weekly in person with the Boise-based Executive Director and may assist in collecting mail and conducting banking tasks.

Job Type: Full-time, remote.  Must be available real-time for calls, Zoom meetings and email responses real-time between 7:00 a.m. and  2:00 p.m. Mountain Time (excluding a lunch hour).

Pay: $28 per hour

Expected hours: 30 per week.

Education:

  • High school or equivalent (Required)
  • Some college preferred. Certifications or completed coursework on administrative software are a plus.

Work Location: Remote. The successful candidate must be physically located in the greater metro Boise, Idaho area (within 25 miles of downtown Boise).

Benefits: This position does not offer health care, vision, dental or retirement benefits.  Vacation days include all state and federal holidays and 15 days (three calendar weeks) of vacation per year.
