The Idaho Department of Fish and Game is seeking an Administrative Assistant 1 to join our team. The incumbent will be assigned to work with the Idaho Fish & Wildlife Foundation (IFWF) at our headquarters in Boise.

Responsibilities include:

• Provides daily assistance to the IFWF's Executive Director and Board members with a wide range of administrative duties. Employees in this classification are typically delegated the authority to coordinate non-routine secretarial and clerical activities.
• Compose letters, correspondence, and memos requiring independent judgment as to content.
• Compile and analyze information from a variety of sources to prepare reports.
• Utilize word processing equipment and/or computers to create, process, and maintain a variety of documents and administrative records containing technical information and difficult formats.
• Schedule and coordinate arrangements for meetings, conferences and other event planning.
• Act as a liaison between IFWF and external customers.
• Respond to inquiries and explain department services, policies, procedures, and rationale for decisions to customers.
• Data entry in fundraising database (FundEZ), monitor budgets and prepare financial transactions.
• Creates and maintains excel spreadsheets.
• Coordination and management of information for the IFWF website and social media.
• Using Power Point, Web Flow designs and produces graphics and text for informational materials for IFWF.
• Provides quality and effective customer service to both external and internal customers.
• Respond to inquiries and explain IFWF services, policies and procedures.
• Organizes and maintains an electronic filing system.
• Records meeting minutes.
• Overnight travel to attend meetings will be required.
• Performs other job-related duties and special projects as assigned.

Minimum Qualifications:

(All qualifications listed below are required. • Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception.
• Good knowledge of gathering and compiling data.
• Good knowledge of balancing and coordinating a workload for multiple projects.

Minimum Qualifications Specialty Areas:

(These qualifications are required for the current opening at the Idaho Department of Fish and Game.)

• Experience using spreadsheet software.
• Experience taking meeting minutes.

This position requires the following:

• At least one year of work experience performing a wide variety of secretarial support functions; OR formal training consisting of successful completion of an 18-24-month office administration course of study beyond high school. This coursework should have resulted in an Associate (A.A.) degree or equivalent to be qualifying. Work experience should consist of performing a wide variety of secretarial support functions as the predominant responsibility of the job. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least six months of work experience with responsibility for answering business phones, greeting visitors, and screening callers for further access to staff. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least one year of work experience gathering information from a variety of sources to collect and compile requested information and required good knowledge of services, operations, or programs. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least one year of office work experience which required balancing, coordinating, and setting priorities for multiple projects with varying deadlines, or for multiple supervisors. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least one year of office experience using word processing software to format a variety of business documents; OR have recent word processing training coupled with at least six months of experience performing word processing in a business office setting. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least one year of office experience which required composing and editing a variety of business documents on a regular basis; OR successful completion of at least one college-level English composition or business English class and at least six months of experience composing business documents. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least one year of office experience using spreadsheet software; OR have recent spreadsheet software training coupled with at least six months of experience using spreadsheets in a business office setting. The intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.
• At least six months of work experience taking meeting minutes.

In addition to meeting the criteria for the minimum qualifications and minimum qualification specialty areas, the ideal candidate for this position will have experience using social media platforms and creating content.
