The Idaho Department of Insurance (DOI) is seeking an Office Specialist 2. The selected candidate will play a key role in our Fiscal section and reports directly to the Fiscal Officer.
This position will operate in the mail room and front desk of the Department. The incumbent distributes mail for the agency, serves as back-up for front desk reception, and processes daily deposits and payments, including delivering daily deposits. This role will interact with multiple departments internal and external to the agency. The schedule for this position is Monday - Friday from 8:00 am to 5:00 pm MT. Ideal candidates are friendly, engaged and organized individuals.
RESPONSIBILITIES:
- Receive, verify, sort, and distribute incoming staff mail and packages
- Process incoming money and documentation for deposit
- Create and maintain Excel spreadsheets for entering and balancing check information
- Enter various types of data into the statewide accounting system
- Perform back-up receptionist duties for the front desk
MINIMUM QUALIFICATIONS (MQs): Good knowledge of: - Rules of effective business English usage, spelling, punctuation, and grammar
Typically gained by at least six (6) months of work experience using the rules of effective business English; OR the successful completion of a high school or college English course; OR successful completion of a nine (9) month to one (1) year office administration course beyond high school.
Experience: - Using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving
Typically gained by at least six (6) months of experience where you were responsible for maintaining file systems.
- Reviewing documents for compliance with established procedures
Typically gained by at least six (6) months of experience where you were responsible for reviewing documents to ensure forms were properly completed and compliant.
- Using a computer to enter and retrieve information
Typically gained by at least six (6) months of experience using a computer to enter and retrieve information in a professional setting.
- Answering a business telephone using knowledge of business telephone procedures and etiquette
Typically gained by at least six (6) months of work experience answering a telephone in a professional capacity using proper business telephone procedures and etiquette.
DESIRED CANDIDATES WILL HAVE (not required): Experience:
- Using basic math skills professionally
- Maintaining strict confidentiality of non-public information
