Position:
The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 2 for the State Office in Boise.
Hourly Salary: $21.42
Responsibilities:
• Liaise between the Fiscal office and all of DEQ's divisions and regional offices.
• Maintain confidential and sensitive information.
• Review backlog of paper documents and files to determine need to retain or destroy. Enter those to be kept in DEQ's Electronic Data Management System (EDMS).
• Assist financial staff with administrative tasks such as putting together binders, filling out and submitting forms, and filing documents in our electronic storage system.
• Manage DEQ's Fiscal intranet site, ensuring forms and instructions are easily accessible for all staff.
• Meet, greet, and escort visitors as needed.
• Coordinate and schedule meetings, interviews, conference calls, and training for the financial unit staff.
• Reserve conference rooms, vehicles, and other resources as needed.
• Make or assist with travel arrangements for the financial unit staff, including flights, hotel, and ground transportation.
• Answer, screen, route, and return telephone calls.
• Process incoming and outgoing mail.
• Compose, compile, and process correspondence and reports, as needed, consistent with the DEQ Writing and Style Guide. Coordinate and track routing documents for signatures.
• Process invoices, develop purchase orders, and submit P-card processing for staff.
• Ensure documents are maintained in the EDMS per naming conventions provided in filing indices.
• Provide support for meetings and conferences by assisting with the set-up and takedown of the venue as well as coordinating catering or purchasing food and beverages and providing the necessary supplies.
• Coordinate with the financial supervisors to onboard new staff and ensure their workstation is prepared in advance of their start date.
• Manage the unit calendar for meetings and conferences.
• Coordinate with other administrative assistants to ensure coverage for the fiscal unit and assist with coverage in other areas of the department.
• Maintain inventory of assigned computers and other equipment; help fiscal staff order equipment and other items needed.
• Maintain office supplies as needed.
• Provide data entry as needed.
• Take meeting minutes as needed.
• Develop and maintain a desk-manual for the position.
• Perform other duties as assigned.
