Job Description: Recall Specialist (Gastroenterology)
Supervised By: Clinic Supervisor
General Responsibilities: The Recall Specialist plays a key role in supporting patient continuity of care by ensuring timely scheduling of follow-up procedures such as colonoscopies, endoscopies, and other GI-related screenings. This position requires excellent communication, attention to detail, and an understanding of GI timelines and procedures to help patients maintain their health and prevent missed appointments.
Other Responsibilities:
• Monitor and manage the recall database or EMR system for patients due or overdue for follow-up procedures.
• Generate, review, and maintain recall lists and backlogs on a routine basis.
• Contact patients via phone, text, mail, or portal to schedule follow-up appointments based on provider recommendations and procedure timelines.
• Explain the importance of timely GI follow-ups (e.g., colonoscopy intervals, surveillance procedures).
• Assist patients in selecting appropriate dates/times and coordinate with clinic schedules.
• Provide prep instructions or direct patients to appropriate resources if needed.
• Document all patient communications and outcomes accurately in the EMR.
• Track scheduling metrics, response rates, and escalate unresolved cases to nursing or administrative staff.
• Work closely with providers, schedulers, and nursing teams to ensure continuity of care.
• Identify barriers to follow-up (insurance issues, patient reluctance, etc.) and escalate as needed.
• Maintain HIPAA compliance and patient confidentiality in all communications.
• Ensure recalls follow recommended guidelines (e.g., 3-year, 5-year, or 10-year colonoscopy intervals).
Minimum Qualifications:
• High school diploma or GED required; associate degree or medical office training preferred.
• Experience in a medical office, preferably in gastroenterology or a specialty practice.
• Familiarity with EMR systems (e.g., NextGen, Epic, Athena) and scheduling workflows.
• Excellent phone etiquette, customer service skills, and ability to communicate clearly and compassionately with patients.
• Detail-oriented with strong organizational and follow-up skills.
• Bilingual (English/Spanish) a plus.
Physical Requirements:
• Prolonged periods sitting at a desk and working on a computer.
• May require minimal lifting of files or office materials.
