Technical Records Specialist II
About the Agency : The Division of Occupational and Professional Licenses (DOPL) provides consumer protection and public safety through its regulation of more than 250,000 licensees within more than 44 Boards and Commissions here in the great State of Idaho.
This Technical Records Specialist II position is a great opportunity for a professional who's looking to provide consumer protection and public safety for all Idahoans. This position will support the Building, Construction, and Real Estate Bureau. Example of Duties:
This position provides technical support to assigned Boards and Division administration as assigned by the supervisor. Those services include receiving, reviewing, and processing applications; providing licensure information; issuing licenses and certifications; preparing and maintaining files. Process Applications and Forms
Enter data from application and request forms into the licensing database
Process application funds
Issue licenses
Update individual licensee records
Correspond with applicants regarding needed information
Print and send licenses, license verifications, certificates
Research, analyze and resolve complex problems in licensure processes
Process audit information and provide audit follow-up
Provide Customer Service to External Customers
Work with a phone and email queue throughout the day, requiring effective communication skills and the ability to manage high volumes efficiently
Act as content expert for Boards served, and respond to questions from applicants and licensees
Provide technical assistance for the Division's services in person and on the phone
Deal with individuals from varying cultural and socioeconomic backgrounds, sometimes in stressful situations
Provide specialized information pertaining to board programs and services
Provide front counter support by assisting customers in-person with licensing-related tasks, including processing payments and issuing licenses
General Office Responsibilities
Review website, applications, letters and licensing database to identify errors and needed updates
Monitor email
Scan documents
Other duties as assigned
Minimum Qualifications:
Experience:
Monitoring record systems to identify and correct errors, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs
Analyzing information and researching a variety of sources to identify and resolve problems or issues
Dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations Entering and retrieving data using a computerized record system
Composing and proofreading business correspondence

Preferred Qualifications:
Experience working with Boards or Commissions

Operate multi-line telephone system, desktop computer, calculator, printer, copier, and fax machine
Understand and follow complex oral and written instructions
Work in an environment with multiple conflicting demands and frequent interruptions
Use Microsoft Word and automated record management systems
Communicate effectively and tactfully with co-workers and diverse external customers, some of whom may be irate or under stress
Review, evaluate, approve, and process records and/or documents
Determine eligibility requirements according to rules, regulations, statutes, and program policies and procedures
Explain requirements, processes, and procedures to customers
Compose error-free written correspondence and documents using word processing software
Create mass mailings using mail merge functions
Gather information, make decisions, resolve problems, and respond to inquiries
Prioritize work and meet deadlines
Maintain strict confidentiality of non-public information
Establish and maintain effective working relationships with others
Maintain a predictable and reliable level of attendance
