As a member of the Villa Sport Fitness team, the Group Exercise Admin Associate provides direct operational and administrative support to the Area Group Exercise Director across all 10 VSF Idaho clubs. This role requires flexibility, strong organization, and the ability to travel between locations as needed, including occasional evening and weekend availability for program launches, pop-up events, workshops, and all-club events. The position requires a highly organized, self-motivated individual who can manage multiple responsibilities independently and with minimal supervision.

Responsibilities (Job-Specific):

  • Support of day-to-day Group Exercise program operations as directed by the AGXD.
  • Travel between all Treasure Valley clubs to complete assigned tasks, audits, and projects.
  • Perform equipment and studio inventory checks to ensure all GX spaces meet Villa Sport standards.
  • Monitor and support studio cleanliness, organization, and presentation.
  • Draft and distribute instructor and team communications related to schedules, pop-ups, workshops, club events, and general club updates.
  • Assist with planning and execution of special events, pop-ups, and launches, including on-site setup, decorating, and breakdown.
  • Support real-time updates within MotionVibe as directed by the AGXD, including instructor changes, class edits, and substitution needs.
  • Conduct instructor studio onboarding and introductions, including sound system usage, operational procedures, and Villa Sport class standards to ensure alignment with program expectations and goals.
  • Collect, respond to, and escalate member feedback received through email, social platforms, or in-club.
  • Support all programs and special pop-up events, including contributing to social media and LinkedIn content to enhance club visibility.
  • Assist with data tracking, spreadsheets, reporting, and general program analysis.
  • Support club refreshes and studio upgrades.

Qualifications:

  • Experience
    • Minimum of two years' experience as a Group Exercise Instructor.
    • Minimum of one year in an administrative or coordinator position preferred.
    • Experience with a hospitality company preferred.
  • Computer
    • Proficient in MS Excel and Word.
    • Experience with work schedule software.
  • Communications/Organization
    • Excellent written and verbal communication skills.
    • Highly organized and detail oriented.
    • Able to maintain confidentiality of member information and other club data or proprietary information.
    • Excellent editing and proofreading skills.
    • Able to handle multiple concurrent projects and assignments.
  • Personal Characteristics
    • Excellent customer service skills, energetic, enthusiastic and motivational.
    • Able to problem solve; flexible with changing situations.
    • Honesty, integrity, and sound judgment.
    • Self-discipline and capacity for hard work.

  • Education
    • College or Junior College Degree preferred, but not mandatory.

Physical and Environmental Requirements:

  • Occasional bending, kneeling, and lifting up to 50 lbs.
  • Frequent standing, walking, reaching, climbing and balancing.
  • Comfortable working in environments with moderate to high noise levels
  • Ability to work in a standing position for extended periods of time.
  • Ability to travel between all VSF Treasure Valley locations as required.
