Job Description Summary:
The Faculty Personnel Services Manager plays a vital role in supporting the faculty at the Mason School of Business. This position oversees faculty recruitment, onboarding, appointments, contract management, and other personnel actions. Serving as a key resource, the Faculty Personnel Services Manager provides guidance to search committees and department administrators, ensures compliance with best practices, and manages the applicant tracking system.

The Manager also ensures timely processing of faculty transactions-including payroll, leaves, and renewals-and supports the teaching faculty promotion process. This role provides high-level administrative support to faculty and academic leadership, while leveraging strong analytical skills to maintain accurate faculty data in systems such as Workday and Faculty Success. The ideal candidate is a collaborative, service-minded professional who thrives in a dynamic academic environment.

This position plays a vital role in supporting the faculty at the Mason School of Business. This position oversees faculty recruitment, onboarding, appointments, contract management, and other personnel actions. Serving as a key resource, the Faculty Personnel Services Manager provides guidance to search committees and department administrators, ensures compliance with best practices, and manages the applicant tracking system.

Job Description:

Required Qualifications:

  • Bachelor's degree in business administration, higher education, or related field.
  • Experience with web-based recruitment systems.
  • Strong analytical skills and attention to detail.
  • Excellent organizational, communication, and interpersonal skills.
  • Proficiency in Microsoft Office and experience using an HR or faculty information system.
Preferred Qualifications:
  • Experience in a business school or higher education setting.
  • Familiarity with Virginia or similar state administrative systems and policies.
  • Experience with faculty appointment and promotion processes.
  • Knowledge of academic contract management.
  • 3+ years in academic administration, HR, or faculty affairs.
Conditions of Employment:
  • This is a non-exempt position, which may be eligible to receive overtime in accordance with the Fair Labor Standards Act.
Job Duties:

Faculty Recruitment & Onboarding:
  • Coordinate all aspects of faculty recruitment, including job postings, hiring proposals, candidate communication, interview scheduling, and campus visits.
  • Advise departments on recruitment processes for full-time and part-time faculty.
  • Maintain and update recruitment resources and templates.
  • Draft and manage offer letters and onboarding instructions.
  • Oversee onboarding, including orientation, credentialing, and systems access.
  • Maintain accurate and confidential faculty records.
  • Manage affiliate scholar appointments and coordinate systems access.
  • Initiate instructor of record designations and communicate updates to Academic Affairs.
Faculty Contracts & Appointments:
  • Prepare and manage contracts for full-time and part-time faculty across residential and online programs.
  • Track contract timelines, renewals, and expirations to ensure timely processing.
  • Maintain centralized records of contracts and related documentation.
  • Communicate contract terms and deadlines to faculty and department chairs.
  • Ensure compliance with institutional policies and budget approvals.
  • Coordinate faculty appointments, professorships, awards, reappointments, sabbaticals, and leaves.
  • In conjunction with the Director, Academic Administration collaborate with MSOB Finance and Administration to ensure budgetary compliance and accuracy.
Faculty Data & Process Management:
  • Serve as liaison between faculty, HR, and academic leadership on personnel matters.
  • Support the promotion and tenure process, including dossier preparation and deadline tracking.
  • Enter and maintain faculty data in Workday and Faculty Success systems.
  • Ensure accurate reporting of faculty achievements for accreditation and internal use.
  • Provide administrative support to the Personnel Committee and manage related documentation.
  • Maintain internal and external faculty websites and SharePoint resources.


Work Environment:

This position is based in a professional office within a university setting. Occasional evening or weekend work may be required during peak academic cycles.

Posting Range: $51,000-$64,000 commensurate with experience
