Join Our Team as a Medical Records Coordinator!

As a Medical Records Coordinator, you will play a vital role in supporting our medical records collection activities. Your contributions will help enhance quality improvement initiatives through effective outreach to healthcare providers for the collection of crucial data related to the Healthcare Effectiveness Data and Information Set (HEDIS). This position is essential in our commitment to providing exceptional and cost-effective care to our members.

Key Responsibilities:

  • Engage effectively with healthcare providers through phone, fax, mail, electronic medical record systems, or direct onsite visits to secure medical records.
  • Utilize the HEDIS application to efficiently load and manage medical records and reports from provider offices.
  • Assist with annual HEDIS audits and similar initiatives by coordinating outreach, collection, and upload of medical records into our internal database.
  • Provide project management support by collaborating with leadership and HEDIS staff to identify and collect necessary medical records and data.
  • Participate in vendor meetings to improve the medical record collection process.
  • Be prepared for occasional travel related to medical records collection.

Qualifications:

  • Minimum of 1 year of customer service experience, ideally in an administrative or support role within a healthcare setting, or a blend of relevant education and experience.
  • A valid and unrestricted driver's license, reliable transportation, and sufficient auto insurance to meet job travel requirements.
  • Exceptional customer service skills with a strong focus on active listening.
  • Proficient in data analysis tools like Excel.
  • Efficient in managing files, schedules, and information.
  • Able to effectively communicate and interface with staff, clinicians, and leadership.
  • Strong prioritization and attention to detail.
  • Outstanding verbal and written communication skills, including professional phone etiquette.
  • Proficient with Microsoft Office suite and other applicable software, with a willingness to learn new applications.

Preferred Qualifications:

  • Registered Health Information Technician (RHIT) certification.
  • Experience with medical records collection.
  • Familiarity with managed care settings.
  • Basic understanding of HEDIS and National Committee for Quality Assurance (NCQA) guidelines.
  • Experience in project planning.
