The Payroll Specialist is responsible for processing accurate and timely payroll for all employees, ensuring compliance with federal, state, and local regulations. This role manages payroll data, maintains employee records, resolves payroll discrepancies, and serves as a key point of contact for payroll-related questions. The Payroll Specialist works closely with HR, Finance, and leadership to ensure payroll operations are efficient, confidential, and compliant.
Key Objectives:
- Payroll accuracy and timeliness
- Compliance and risk management
Responsibilities:
- Verify timekeeping records, PTO balances, commissions, bonuses, and adjustments
- Process semi-monthly multi-state payroll for 900+ employees across hourly, salaried, and commission structures
- Maintain and update employee payroll records, including new hires, terminations, pay changes, and deductions
- Calculate and process payroll taxes, garnishments, benefits deductions, and reimbursements
- Ensure compliance with federal, state, and local payroll laws and reporting requirements
- Prepare and submit payroll reports, filings, and reconciliations
- Respond to employee questions regarding pay, deductions, and payroll policies
- Investigate and resolve payroll discrepancies promptly and accurately
- Coordinate with HR on benefits changes, leaves of absence, and employee status updates
- Support audits by providing payroll documentation and reports as requested
- Maintain confidentiality of payroll data and employee information
- Assist in improving payroll processes, documentation, and controls
What you'll bring:
- Proven experience as a payroll specialist, payroll administrator, or similar role
- Strong knowledge of payroll processes, wage and hour laws, and tax regulations
- High attention to detail and strong organizational skills
- Ability to handle sensitive and confidential information with discretion
- Experience with payroll systems and timekeeping software (UKG/Kronos or similar)
- Strong analytical and problem-solving skills
- Clear communication skills for interacting with employees and internal teams
- Ability to manage deadlines and work independently
- Ability to pass a background and drug test
- Demonstrate alignment with the Company's vision, mission, and core values in all interactions
