Position Title:

Program Coordinator-HR Talent Development & Learning-Mount Sinai Health System-Hybrid-Full Time-Days

Position Summary:

The Program Coordinator provides key operational andadministrative support for the planning, implementation and evaluation of programs, courses, projects, and events. This role manages logistics, tracks data, coordinates with participants, and ensures programs are delivered efficiently, accurately, and on schedule. The ideal candidate is highly organized, detail-oriented, and process driven, with the ability to manage multiple priorities in a fast-paced, collaborative environment.

Responsibilities

General Coordination
• Establishes the coordination of basic to complex program and project activities and ensures the quality, timeliness, and integrity of ongoing projects and schedules.
• Develops and maintains a detailed project schedule; including administrative tasks and ensures adherence to all deadlines.
• Monitors project progress and deliverables, identifies issues early, communicates with management when issues arise, and implements corrective actions as needed.
Scheduling & Coordinating
• Organizes and coordinates elective learning courses, programs, and special events.
• Coordinates logistics, technical support and other related activities (e.g. room or Zoom booking, food and beverage, materials )
• Enrolls participants into programs and distributes materials pre/post sessions

Project/Program/Elective Learning Course Support
• Assists in the planning, coordination, and execution of courses, programs, and events delivered in in-person, virtual, or blended learning formats. Responsibilities may include in-person logistical support and virtual production assistance (e.g., Zoom producer role).
• Collaborates with trainers and presenters to prepare, organize, and distribute course materials. Responds to participant inquiries regarding program requirements, registration, and logistics, and provides support before, during, and after each session.
• Supports the development and implementation of marketing strategies-including print and digital materials-to promote programs and increase engagement. Assist with the creation and execution of the marketing strategy (print and digital)

Virtual Session Production
• Serve as behind-the-scenes producer for Zoom-based programs, ensuring smooth set-up and execution
• Manage core platform functions including breakout rooms, attendance tracking, music and slides on entry, and troubleshooting in real-time
• Coordinate with facilitators to prepare technical elements in advance

Administrative Tasks
• Organizes, leads, and facilitates project-related meetings, including developing agendas and preparing meeting materials. Prepares and/or edits meeting minutes, presentations, and supporting documents.
• Takes attendance for courses, programs, and meetings, and accurately inputs attendance data into the appropriate tracking systems.
• Maintains detailed records and documentation for all program, project, and course activities, and may develop standardized procedures for storing and managing required documentation.

Data and Reporting
• Creates and updates courses in PEAK (Learning Management System); monitors attendance, gathers course rosters, assigns credit for completed courses, and initiates follow-up surveys.
• Develops, formats, and maintains reports to track attendance, utilization, and program impact.
• Collects and synthesizes data from various sources and presents findings, including preliminary analysis when applicable. Investigates issues or concerns, conducts background research, and responds to information requests in a timely manner.

Conducts other related duties as assigned

Qualifications

Education Requirement:

  • Bachelors Degree or an equivalent combination of education and/or experience may substitute for the degree when the experiences are closely related to the duties of the job
Experience Requirement:
  • None required, but 1-2 years administrative experience preferred
  • Exposure to improvement methodologies such as LEAN preferred
  • Demonstrated ability to leverage program management tools preferred

Compensation Statement:

The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,482.07 - $74,250.00 Annually.Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
