Administrative Assistant

We are looking for a part-time detail-oriented administrative assistant to join our team in Carmel, Indiana. This part-time position offers the opportunity to play a key role in ensuring seamless office operations while providing high-level support to executives. The ideal candidate will excel in organization, communication, and multitasking, contributing to both day-to-day activities and larger projects such as event planning. This position is on-site and Monday-Thursday from 9:00am-3:00pm.

Responsibilities:

  • Greet and assist visitors professionally, ensuring a welcoming experience.
  • Oversee the visitor registration process and maintain adherence to security protocols.
  • Manage office supplies inventory and coordinate restocking as needed.
  • Handle mail distribution, including incoming, outgoing, and overnight deliveries.
  • Act as the liaison with property management to address facilities maintenance and other operational needs.
  • Maintain executive schedules by organizing meetings and arranging travel plans.
  • Prepare presentations and materials for meetings, ensuring accuracy and timely delivery.
  • Coordinate logistics for meetings, events, and annual conferences, including catering and supplies.
  • Support special projects and assist with tasks related to insurance renewals.
  • Perform additional administrative duties as assigned to ensure smooth office operations.

Requirements:

  • Proven experience in administrative roles such as office management, executive support, or receptionist duties.
  • Exceptional organizational and time-management skills with the ability to prioritize multiple tasks.
  • Proficiency in managing calendars and travel arrangements using tools like Concur.
  • Strong skills in Microsoft Excel, PowerPoint, and general data entry.
  • Experience in event planning and logistics, including coordinating conferences.
  • Ability to handle inbound calls and provide attentive and detail-oriented assistance.
  • Familiarity with maintaining office operations and supplies.
  • Excellent communication skills, both written and verbal, to interact effectively with team members and visitors.
